PURPOSE AND SCOPE:
Under general to limited supervision, the Office Administrator is responsible for coordinating the daily functions of the assigned department/office. Functions may include coordination of services, scheduling, maintenance, communications, equipment, work flows, purchasing and delivery of supplies, information processing, and resource planning. May be responsible for coordinating budget planning process to include tracking budget expenditures, office equipment, rooms, or other items and/or services.
ESSENTIAL JOB FUNCTIONS:
The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.
WORK SCHEDULE AND CONDITIONS:
Hiring salary range is $33,540-$38,571.
Lone Star College provides a hiring salary range for all posted full-time non-faculty positions. Where your salary offer would fall in that range is determined by your related experience and education. ESSENTIAL JOB FUNCTIONS:
- Organizes and coordinates general office operations, including but not limited to supervising, training and coordinating the workload of clerical staff, ensuring adequate office coverage, overseeing efficient workflows, and maintaining departmental schedules and calendars
- Provides administrative support within assigned area as directed; Typical duties include but are not limited to preparing memorandums and handling routine correspondence, answering phones, making travel arrangements, and planning and scheduling meetings
- Troubleshoots critical questions, inquiries, and complaints and direct them to the appropriate person or department
- Produces and/or coordinates collection and preparation of a variety of reports, forms, documents and presentations; May include research, typing, coordinating, proofing, printing, and purchasing materials
- Keeps timesheets and prepares payroll reports for office staff, updating and maintaining appropriate records and files
- Plans and coordinates a variety of meetings
- Maintains departmental files in accordance with established guidelines
- Manages office supplies (and supplies for special projects); Includes tracking supply usage, maintaining appropriate levels of supplies, preparing and processing requisitions, verifying receipt and distribution of supplies, and submitting documentation for appropriate payment of requisitions
- Coordinates maintenance of general office equipment (printers, faxes, copiers, etc.)
- Assists staff with daily office functions during busy periods
- May assist with areas budgeting function
- Responsible for other reasonable related duties as assigned

- Work is performed in a climate-controlled office with minimal exposure to safety hazards
- High School Diploma or GED and at least 3 years of related work experience, or an equivalent combination of education and experience
- Associate's degree
