Physical Requirements

There could be some moderate lifting (up to 40lbs) when setting up for conferences; field education meetings; meetings with field advising and information sessions. Repetitive motion typical of desk work (sitting/typing/bending/twisting); prolonged exposure to screen time.

To assist in actualizing our mission, we seek candidates for the position of Senior Experiential Learning Specialist (Academic Coordinator Sr.). The position's duties include:

Engage, Prepare, Advise & Support Field & Experiential Education Experiences
  • implement and sustain a strategic approach for engaging and supporting students preparing to enroll or are enrolled in field & experiential education courses
  • deploy communication plan to equip students with information and resources necessary to successfully matriculate through field and experiential education courses
  • ensure timely response to email, utilize and monitor field messaging systems, create and host weekly field and experiential learning orientation sessions, and provide tailored 1:1 field guidance and advising sessions
  • develop and maintain proficient and reliable processes for monitoring student engagement and matriculation through field and experiential education courses
  • collaborate with agency stakeholders, student advisors, student service coordinators, and admissions personnel to determine student readiness for field and experiential education courses and ensure placement success
  • manage student placement processes including verification of agency/placement suitability, approval of employment hosted placements, ensure student and agency connectivity, and monitor student enrollment in applicable learning management systems
Coordination of Teaching
  • instructor of record for field and experiential education courses, interface with students daily, appropriately and in a timely manner respond to course related issues and questions
  • ensure course assignments are completed (e.g., site visits, learning plans, timesheets, evaluations) and grades are assigned
  • mentor agency/placement instructors, implement the agency field and experiential instructor training, and facilitate and orient instructor understanding and utilization of field and experiential education software
  • prepare learning management systems for field and experiential courses and students
Manage Field & Experiential Placement and Student Engagement Data
  • maintain field and experiential education software and data systems, including creation of new data collection processes and updates to existing processes to meet student, agency stakeholder, COSW, and field team (including faculty)needs
  • develop and facilitate effective and efficient training and onboarding for students, Agency Field Instructors, Task Supervisors, and field team for utilizing field education software
    —including oversight of software registration processes
  • generate and analyze field data metrics, assessments, and reports to inform and evaluate field and experiential education processes which aim to engage, prepare, and support students as they matriculate through field & experiential education courses
Field Process Oversight
  • provide supervision, coaching, mentoring, and other tasks related to supervising field and experiential education personnel
  • identify and recruit new agencies as site placements that offer learning opportunities which align with the social work competencies and meet accreditation standards
  • facilitate and ensure an accurate agency profile process
  • lead and provide oversight for the contract approval process including collaboration that results in solution-focused problem solving with University of Kentucky legal team
  • implement and ensure contract recordkeeping and documentation processes
  • complete new agency onboarding system requirements to ensure compliance with new site placements (e.g., ACEMAPP, My Clinical Exchange).
Skills / Knowledge / Abilities

This person must be well versed in multiple technology programs including Excel, Word and database programs such as Access. Data analytics is a must and qualified persons will possess the ability to generate data-based metrics. The individual must be well versed in utilization of multiple communication platforms including Zoom, Slack, Teams and Outlook. the position requires advanced executive functioning, attention to detail, and the ability to manage multiple projects efficiently and simultaneously. Strong presentation skills are needed in combination with the ability to communicate with a variety of stakeholders including students, staff, faculty, and agencies. The individual must excel in customer service.
